Fee Authorization and Forfeiture Fees

Fee Authorization

Fee authorization is available to regular University faculty/staff with a 75% FTE appointment or greater.

  • Fee authorization may be used to a maximum of 10 credit hours per quarter.
  • Fee authorization does not apply to an audited course; however, the course may be taken with the pass/nonpass option.
  • The employee must complete the course with a passing grade.
  • Confirmation of an employee's intent to use fee authorization is normally automatic. Therefore, any scheduled courses must be dropped to avoid academic and financial penalties. (See Forfeiture Fees, this page.)
  • All students—including employees taking courses on fee authorization—will be charged the $9 COTA fee. This fee is not covered by fee authorization and is not optional. Your account statement will indicate a $9 (COTA Fee) balance due and you should pay this as directed on the statement.
  • If your initial bill also indicates that you owe tuition fees (this does happen in some instances), wait until the week before classes begin and check your balance due. If the Employee Fee Authorization is not reflected, contact the Office of Benefits Administration at 292-1050 and notify them of the problem. If you register the week before classes start or later, wait 48 hours and then confirm your new balance.

Forfeiture Fees

Ohio State University employees who drop a course after the deadline for 100% refund are subject to Forfeiture Fees. The Forfeiture Fee equals the percentage of fees not covered in the refund period in which the course or courses are dropped. For example, if an OSU employee drops a course in the 70% refund period, the employee must pay 30% of the fees. Forfeiture deadlines are as follows:

No Forfeiture (100% refund period):
Through the first Friday of classes.

20% Forfeiture (80% refund period):

1st Saturday through the 2nd Friday of classes.

30% Forfeiture (70% refund period):
2nd Saturday through the 3rd Friday

40% Forfeiture (60% refund period):
3rd Saturday through the 4th Friday

50% Forfeiture (50% refund period):
4th Saturday through the 5th Friday

100% Forfeiture (no refund):
After the 5th Friday

If you are an Ohio State University employee and owe forfeiture fees you may be eligible for a one-time forgiveness of this debt. Contact the Office of Benefits Administration (614) 292-1050 for more information.
